District Events Resource Team

MISSION: Establish, document, implement and maintain defined processes, that effect maximum efficiency in planning and implementation of district events, that result in a high quality event to meet the expectations of the attendees and the District Governor, while establishing the highest cost-value relationships possible.

RESPONSIBILITIES

All team members work closely with the various event chairs to ensure that all parties involved are clearly aware of the tasks that are to be performed by the DERT and those to be done by the event planners/club members.

Facilities Team

Planning, oversight and possible processing of all aspects of an event that relate to the registration of members, including but not limited to:
  • Design of Registration form
  • Providing registration requirements to the Promotion team for mailing to Rotarians
  • Data entry and processing of all registrations using the software provided by the District.
  • Managing the registration tables and processes at the event.
Design, scheduling, and coordination of all steps necessary to communicate event information to Rotarians in a timely manner, including but not limited to:
  • Working with the current District Governor for a  "theme" that will be carried through to all aspects of the promotion of the district  conference.
  • Provide information to the District Webmaster for use on a District Conference Website.
  • Develop due date schedule for all materials, printing dates, mailing dates, etc.
  • Provide staffing for stuffing and other processes necessary to get materials to Rotarians.
Working with facilities (venue) personnel in the areas of all needs for the event, including coordination with those speaking, or in need of facility services. The areas of responsibly include, but are not limited to:
  • Audio Visual needs
  • Coordination of all rooms needed for meetings and attendees
  • Coordination with DG on meals
  • Negotiation with meeting facility personnel of all items involving costs.
  • Channel for all request involving items at facility that will be a charge item by the facility.
